Open Video Quiz is an educational video-quiz service and a Condiscere project. This policy explains what information the service handles, why it is used, how long it is kept, and how to request access or deletion.
Teacher accounts. We store a teacher's name, email address, password hash, account/session information, settings, and the date/version of accepted Terms and Privacy Policy. Plaintext teacher passwords are not stored.
Quizzes and classroom information. Signed-in teachers may store quizzes, classes, assignments, reports, and gradebook information. Classroom records may include student names or identifiers, teacher-managed classroom PIN information, assignment and live-quiz responses, scores, progress, and timestamps. Student email addresses are not required.
Guest use. Guest teachers keep editable quizzes and completed guest reports in that browser. Temporary guest live-session information is held in server memory and removed when the session ends or expires. A guest-created quiz may also create a sanitized community-library copy that does not include student, report, or guest-identity information.
Technical information. The service uses cookies and similar session credentials needed for teacher/student sign-in, security, and operation. Operational logs are designed to contain event types and aggregate counts rather than student names, answers, room codes, passwords, authentication tokens, or IP addresses.
Teacher and student information is used only to provide, secure, maintain, and improve the educational service: for example, to authenticate users, deliver quizzes and assignments, save progress, calculate results, provide gradebooks/reports, restore backups, prevent abuse, and troubleshoot failures.
Open Video Quiz does not sell student personal information, use student personal information for targeted advertising, or build commercial profiles of students. Student information collected for educator-directed use is not used for unrelated commercial purposes.
Quiz content intentionally published to the community library is public educational content. Public quiz records may include the video title/URL, quiz title, keywords, question text, answer options, timestamps, and aggregate usage information. Public projections do not include student data, classroom records, reports, results, teacher email addresses, or answer keys/explanations. Community content is separate from private classroom records.
When enabled for signed-in teachers, a failed AI-assisted import may retain a bounded diagnostic record containing the failed response, generated prompt, video URL, parser/error information, and truncation flags so the importer can be improved. Guest AI output is not retained for this purpose. Diagnostic records are automatically deleted after 14 days and are excluded from normal teacher backup files.
Open Video Quiz uses Cloudflare for network/proxy infrastructure and email routing, and can embed YouTube videos. When you contact us by email, the message may be processed by our email providers, including Cloudflare, Google/Gmail, and SMTP2GO. Those providers process information under their own terms and privacy practices. Open Video Quiz does not provide student classroom records to these email providers unless someone includes such information in an email.
Teacher account information and teacher-created private content are retained while the account is active or until the teacher deletes the content or requests account deletion. Student personal information in completed live sessions, assignment attempts/responses, and inactive roster records is automatically removed no later than 24 months after the last relevant activity reflected in the service. Teachers may delete many records sooner using available controls; a verified request can be used when complete removal of a student's identifiable records is needed.
Community-shared quiz content may be retained separately from private classroom data. Authenticated source-quiz deletion removes its associated community snapshot; unpublishing may preserve a hidden copy and adoption history so the same public identity can be restored later. Teacher-downloaded backup files are controlled by the teacher after download.
Teachers can update their account information and delete many classroom records directly in the service. A teacher, school, district, parent/guardian, or eligible/former student may contact us to request review, correction, or deletion of information that can be reasonably identified and that the requester is authorized to control. Name-only live or accountless records may require enough classroom, assignment, or session information to identify the correct record without affecting another student with the same name.
Verified deletion requests are processed within 30 days unless a different period is required by law. Account deletion removes the teacher account and associated private teacher/classroom records, including teacher-owned quizzes, classes, assignments, reports, student records, adoption records, and attributable AI-import diagnostics. Some data may be retained when required by law, needed for security/integrity, or already present in a teacher-controlled downloaded backup.
Open Video Quiz uses access controls, salted password/PIN-derived authentication records, scoped teacher ownership, secure session cookies, request/origin protections, restrictive security headers, file permissions, and other safeguards intended to protect stored information. No internet service can guarantee absolute security.
Open Video Quiz is intended for educator-directed educational use. Teachers, schools, and districts should use the service only when authorized to provide the student information involved and should provide notices or obtain consent when required by applicable law or policy. When a school authorizes use for students, Open Video Quiz limits student personal information to the educational purposes described in this policy.
If this policy changes materially, the effective/version date will be updated. New teacher registrations record the version accepted at registration.
